MEMBER SERVICES AND OFFICE COORDINATOR - Full Job Description
AIA Louisiana is a small, highly collaborative office of two full-time and two part-time team members. We support flexibility, creativity, and leadership. We are seeking a part-time Member Services & Office Coordinator to join our dynamic team with a potential option for full-time in 2026. The ideal candidate will serve as the first face/voice for the organization, ensuring smooth and efficient office/program/event operations and providing excellent service to AIA Louisiana.
Essential Responsibilities:
Office Management (50% of time)
- Serve as the first face/voice of the organization by inquiries to the front desk, main phone and through AIA Louisiana’s general email account, responding to member and public requests for information; referring to the appropriate staff member as needed.
- Responsible for the calendar scheduling, technology platform setup, materials distribution, catering orders, and room setup/cleanup for various meetings and member/public programs – either in-person or virtual.
- Serve as the primary contact for vendors who provide office services and equipment, including the building services/management for AIA Louisiana’s office space.
- Monitor AIA Louisiana’s online job board and respond to requests for changes or assistance.
- Provide administrative support to Executive Director including occasional assistance with meetings, scheduling, developing reports for internal and external audiences.
- Provide support for the entire AIA Louisiana staff on large-scale member events and award celebrations.
- Website Editing:
- Update and maintain organization's website, ensuring content is accurate and current.
- Optimize the website for user experience and search engine visibility.
- Implement web design improvements as needed.
Member Services (50% of time)
- Provide excellent service to AIA Louisiana members by staying up-to-date on member rosters, programs, events, and general membership benefits for all Sections (4) and volunteer-led chapters (2).
- Responsible for maintaining accurate and up-to-date member records in AIA Louisiana’s future database, including but not limited to:
- Regular data reconciliation with AIA National’s database, with assistance from the Communications Director.
- Regular tracking of member attendance at programs, with assistance from the Program Director.
- Coordination with the Communications Director to ensure accurate mailing lists for e-communications.
- Responsible for maintaining accurate and up-to-date records of sponsors and donors in AIA Louisiana’s future database.
- Community Meetings:
- Organize and facilitate community meetings, forums, and events as needed.
- Engage with community members to gather insights, share information, and build relationships.
- Compile feedback and insights to inform future efforts.
- Communications:
- Develop and execute a comprehensive communication plan for Sections and All-Volunteer Chapters to promote our mission.
- Create compelling content, including press releases, articles, and social media posts.
- Social Media Management:
- Create and curate engaging content for social media platforms.
- Monitor social media channels, respond to comments, and engage with our audience.
- Track and report on social media metrics to refine our strategy.
Skills / Qualifications:
- Bachelor's degree in a related field (e.g., Communications, Business, Public Policy, Marketing).
- Strong community engagement and meeting facilitation skills.
- Proficiency in Constant Contact or similar email marketing platforms.
- Excellent written and verbal communication skills.
- Experience with website content management systems (e.g., WordPress; Novi).
- Proficiency in social media platforms and management tools.
- Strong organizational and multitasking abilities.
- Passion for the organization's mission.
- Prior experience in serving members of an association or other non-profit preferred
- Prior experience in using a CRM (Customer Relationship Management) or other database software such as Novi, Sales Force, Growthzone, etc.
Preferred Skills:
Individual should possess ability in, or familiarity with:
- Word, Excel, PowerPoint: 2 years (Preferred)
- Photoshop, Illustrator: 2 years (Preferred)
- CRM (Customer Relationship Management) technology / systems: 1 year (Novi Preferred)
- serving members of association/non-profit: 3 years (Preferred)
- Bank reconciliation: 1 year (Preferred)
Additional Notes:
Individual should be:
- A detail oriented, autodidact with interpersonal, negotiation, and member services skills.
- Possess excellent organizational and project management skills.
- A problem solver and decision maker comfortable working as part of a fast-paced team of client facing professionals.
- Must present a pleasant professional demeanor, be proactive, take ownership of responsibilities, be a self-starter and willing to follow through to completion.
Job Types: Part-time, Contract (potential for full time growth in new year)
Pay: $20-30.00 per hour based on experience
Schedule:
- Two days per week (chosen days are negotiable, but need to be set)

- Baton Rouge, LA 70802: Reliably commute or planning to relocate before starting work (Preferred)
