Member Services and Office Coordinator



Schedule: Tuesday to Thursday

Education: Associate’s degree (Required); Bachelor’s degree (preferred)

Responsibilities:

Office Management (40% of time):

Be the first point of contact for inquiries through the front desk, main phone, and email.
Manage calendar scheduling, technology setup, materials distribution, catering orders, and room setup/cleanup for meetings and programs.
Coordinate with vendors and building services for office space.
Monitor and update the online job board.
Provide administrative support to the Executive Director.
Website Editing:

Update and maintain the organization’s website.
Optimize the website for user experience and search engine visibility.
Implement web design improvements as needed.

Member Services (60% of time):

Provide excellent service to AIA Louisiana members, staying up to date on programs, events, and benefits.
Maintain accurate member records in the database, reconciling with AIA National’s database.
Organize and facilitate community meetings, forums, and events.
Develop and execute a comprehensive communication plan for Sections and All-Volunteer Chapters.
Manage social media platforms, create engaging content, respond to comments, and track metrics.

Skills/Qualifications:

Bachelor’s degree in a related field.
Strong community engagement and meeting facilitation skills.
Proficiency in Constant Contact or similar email marketing platforms.
Excellent written and verbal communication skills.
Experience with website content management systems (e.g., WordPress; Novi; GrowthZone).
Proficiency in social media platforms and management tools.
Strong organizational and multitasking abilities.
Passion for the organization’s mission.
Prior experience in serving members of an association or other non-profit preferred.
Prior experience in using an AMS (Association Management Software) or CRM (Customer Relationship Management).

Preferred Skills:

Word, Excel, PowerPoint: 2 years (Preferred)
Photoshop, Illustrator: 2 years (Preferred)
AMS (Association Management Software) or CRM (Customer Relationship Management) technology/systems: 1 year (Preferred)
Experience with AI integrated software
Serving members of association/non-profit: 3 years (Preferred)
Bank reconciliation: 1 year (Preferred)

Additional Notes:

The ideal candidate should be detail-oriented, an autodidact with interpersonal, negotiation, and member services skills. Possess excellent organizational and project management skills. Be a problem solver and decision-maker comfortable working as part of a fast-paced team. Must present a pleasant professional demeanor, be proactive, take ownership of responsibilities, be a self-starter, and willing to follow through to completion.
